Who is Workniva for?
Workniva is for small and growing businesses managing office staff, field workers or multiple branches. Owners, HR teams and managers review attendance and approvals in one place; employees can follow their own leave, requests and records. Available features depend on your plan.
How does Workniva connect to attendance machines?
Workniva does not require inbound access to your office network. Attendance records can reach Workniva in four ways: 1. Upload an export from supported attendance software. 2. Run the Workniva Connector on a Windows PC or small always-on device. It can import CSV files or read a supported vendor database and securely send punches to Workniva. 3. Connect a supported vendor cloud to the Workniva API. 4. Use direct device-to-cloud ADMS integration, currently available as an invitation-only pilot for approved device models and firmware. You can also upload an export at any time to verify synced attendance and recover missing records. Connector-based syncing requires the computer or always-on device to be running; vendor-cloud and approved ADMS connections do not require an office computer. What if our machine does not record check-in and check-out?
Workniva retains punches with unknown direction for review. It does not assume that alternating punches mean arrival and departure. Confirm the device’s attendance-status settings and export mapping before relying on calculated working hours.
Does Workniva calculate statutory payroll?
Workniva prepares salary calculations from agreements and reviewed inputs, and — when your accountant turns it on — adds indicative PF, ESI, professional tax and labour welfare fund estimates from effective-dated rule versions (professional tax and labour welfare fund for Kerala, Tamil Nadu, Karnataka, Maharashtra, Telangana, Andhra Pradesh, Gujarat and West Bengal), plus any TDS figure your CA advises. Every component shows the rule it used and can be overridden with a reason, and you can download EPFO ECR, ESIC and PT layouts. Workniva does not compute income tax and does not file or remit anything; verify amounts with your chartered accountant.
Who can see what?
Access is scoped by organization, role and branch. Employees see their own records; HR, managers and accountants see what their role allows. Key workflow actions and review decisions are recorded in an audit log.
Can outdoor workers check in without internet?
Yes, after signing in online and setting up their assigned sites and encrypted local workspace. They can save field punches offline and explicitly sync when connected, within the 24-hour local workspace lifetime. A reviewer must accept the submission before it changes attendance.
How much does Workniva cost?
Essential is ₹799/month for one branch and 25 employees; Premium is ₹1499/month for three branches and 50 employees, with any number of additional branches at ₹299/branch/month. Every workspace starts with a 14-day free trial; you then prepay for 1 to 24 months at a time. Nothing renews automatically.
Is voice included in every plan?
No. Premium Voice is an optional, separately activated add-on with usage limits and configured providers. It supports Indian English, Malayalam, Tamil, Telugu and Kannada. Standard text assistance does not require this add-on.
What is planned next?
Recently added: a team leave calendar, WhatsApp notifications, Google sign-in, prepaid billing packs (UPI now, Cashfree pending), rosters and rotational shifts with comp-off, kiosk mode, statutory estimates, payslips, bank files and Tally/Zoho exports, and a contact page. Next on the roadmap: a single month-end checklist, one approvals inbox, scheduled reports, posting the salary journal straight into Tally and Zoho, Malayalam and Tamil employee screens, and a certified device-connection programme. Income tax (TDS) is not calculated and Workniva does not file returns or move money; no delivery dates are promised.
